Title: Team Assistant – Risk & Compliance

The Department

The Risk & Compliance Function, which comprises Investment Risk, Operational Risk, Credit Risk and Compliance, forms the second line of defence in Janus Henderson’s global risk management framework. The Risk and Compliance function monitor the financial, operational and regulatory risks in the business and the related controls in place to manage these risks. These functions provide independent oversight of the risk management performed by the first line businesses.

The Function comprises around 125 members of staff. Around 65 members of the Function are based in the London office.

Overview of the Role

  • To provide administrative support to London based members of the Global Management Team, who report to the Chief Risk Officer. Currently this includes the Head of EMEA Compliance, Global Head of Regulatory Developments, Head of Organisational Change, and the Senior Risk Advisor.

  • To provide general administrative support to the wider management team based in London. Currently this includes senior managers in the Enterprise, Credit, Derivatives and Investment Risk teams, plus the heads of Distribution Compliance, Investment Management Compliance, Business Continuity and the Money Laundering Reporting Officer (MLRO).

  • To act as an ambassador for the function, being a first point of contact for the Risk & Compliance function in London.

  • The role reports to the Risk and Compliance Business Manager, based in London.

Duties and Responsibilities

Specific responsibilities will vary from time to time to respond to business priorities, requiring a degree of flexibility from the role-holder. Prioritisation will be supported and overseen by the business manager. Duties and responsibilities are likely to be as described below:

  • Administrative support to members of the Global Management Team (based in London)

  • Diary management, prioritizing and filtering out non-essential meetings

  • Arranging internal and external meetings, conference and video calls

  • General secretarial and administrative support, including but not limited to: typing, PowerPoint presentations, telephone coverage and travel arrangements

  • Provide secretariat support to key team meetings as required (such as monthly EMEA risk or compliance team meetings). To include agenda setting, room bookings and meeting scheduling. This might include attendance at key meetings and is likely to include minute taking/action tracking

  • Administrative support to the wider management team (based in London)

  • Arranging team meetings, coordinating global attendees to ensure optimum time slots; logistics planning including set up and management of video-conferencing as required

  • Travel booking and management

  • Support on specific initiatives where extra administrative support is required (examples might include administration required to engage third party consultants, preparation for ICAAP completion etc.). This might include periods of significant meeting planning

  • Other duties

  • Provide cover for the other administrative role in the risk and compliance function

Technical Skills and Qualifications

  • Previous secretarial or administrative experience within a Financial Services environment

  • Advanced Word and PowerPoint, Intermediate Excel and competent at learning new IT applications

  • Good analytical skills and be able to present clear written and verbal reports

  • Excellent communication skills

  • Proactively able to build relationships both internally and externally; a real team player able to success in a busy and dynamic team environment

  • Good planning, organising and prioritising skills essential - ability to meet tight deadlines, juggling multiple demands – being adaptable and flexible to meet the needs of the team

  • Strong attention to detail

  • Ability to work on own initiative and be proactive to the needs of the team

  • Discreet and professional at all times
