The Department

The Human Resources department at Janus Henderson Investors is high profile and prides itself on the relationships and influence it has developed across all levels of the firm. The team is set up to provide proactive advice, thus supporting a range of specialist functions in both their day to day and more strategic business needs. The department is formed of smaller specialist teams that work together to provide the best level of expertise in all areas, including Generalist, Recruitment, Learning and Development, Reward, Pensions and Payroll.

Overview of the Role

To provide administrative support to the HR Business Partners and deliver a proactive HR service to the company.

Duties and Responsibilities

Act as the first point of contact for all day-to-day HR queries from across the business.

Manage the HR hotline and inbox to ensure all queries are dealt with accurately and on time.

New Joiners:

  • Produce and send all UK and European contracts of employment.

  • Enter all new joiner information onto the Serena workflow platform.

  • Submit new joiner details to our third party reference provider and follow up on any queries.

  • Conduct first day inductions and carry out right to work checks.

  • Monitor work permits and visas for all employees and ensure that the database is kept up-to-date.

  • Complete the probationary period process.

  • Ensure all new employee files are set up, completed and signed off in a timely manner.

Leavers:

  • Responsible for processing all leavers, including letter production and conducting exit interviews where appropriate.

  • Liaise with the HR Operations Coordinator and the employee concerning outstanding season ticket loans, study loans and any accrued but unused holiday.

  • Ensure the Serena workflow platform is updated and new reporting lines for any subordinates are correct.

  • Collate all leaver paperwork and archive the employee file.

Terms and Conditions:

  • Process all changes to terms and conditions and input onto the Serena workflow platform.

Benefit Processing:

  • Ensure all benefit information (e.g. enrolment onto private medical insurance, season ticket loans) is relayed to the HR Operations Coordinator for timely entry into SAP.

Leave Management:

  • Produce letters regarding maternity, paternity, unpaid and parental leave.

  • Conduct maternity leave meetings when required.

  • Assist the HR Operations Coordinator in managing employee self-service queries.

References:

  • Respond to all reference requests including employment, tenancy/mortgage and visa references.

Contractors:

  • Register all contractors with our third party reference provider and follow up on any queries.

  • Perform right to work checks and confirm companies house registration numbers.

Invoice Processing:

  • Input all relevant invoices onto the accounts payable database.

  • Review invoices in the database and assign to the correct cost centre for approval.

Recruitment

  • Assist with the trainee programme recruitment.

  • Review application forms and online video interviews.

  • In conjunction with the manager, short-list candidates and conduct face-to face interviews.

Filing:

  • Responsible for maintaining paper based and electronic files and ensuring that all documents are filed correctly and in a timely manner.

  • Responsible for keeping the filing room in order, ensuring files are in the correct place or archived.

Ad hoc Duties:

  • Support the HR team in administrative projects and other ad-hoc projects as and when required.

  • Undertake any other duties as required to meet the needs of the business.

Technical Skills and Qualifications

  • A can-do approach is a must

  • Excellent attention to detail and organisational skills

  • Experience of working on HR systems, preferably SAP

  • Excellent communication skills – both written and spoken with the ability to deal effectively with staff at all levels.

  • A professional approach to work at all times.

  • Have initiative and be proactive (e.g. Proactively look for ways of improving HR administrative processes and procedures)

  • Ability to own tasks through to completion with minimal supervision
