Janus Henderson operates an outsourced model in partnership with our Third-Party Administrators (TPA). The primary focus of the Operations team is the oversight and management of the TPAs as well as supporting internal clients (for example the Distribution and Investment teams). Operations also support numerous projects and operational changes to maintain best practice operational processes.
Overview of the role
The main purpose of the role is to:
Support Janus Henderson’s Business by pro-actively project managing and setting up the operational & implementational aspects of JHI product and Institutional client events such as client launches & onboarding, Product launches, in-specie transactions, client terminations, fund closures, mandate changes, restructures, mergers, product changes and change of custody event
Carry out multiple events simultaneously including complex non-standard events. Scope is global institutional client mandates and JHIs global product fund range
Facilitate further growth and evolution by embracing business change
Duties and responsibilities
Pro-actively coordinate the implementation and the operational end to end planning and set up applying a centralized control and co-ordination function.
Project manage and lead the operational aspects and implementation of inter alia client launches & onboarding, product launches, client terminations, fund closures, product changes, mandate changes, restructures, in-specie transfers, change of custody events or operational transitions.
Work closely with relevant external 3rd party service providers to ensure a successful implementation service and outcome and that a best service is delivered
Construct, apply and oversee full end to end transition plans and runbooks
Be responsible for accurate set up instruction to multiple parties and perform oversight and pre live checks as well as post event management
Apply effective communication ensuring all parties (internal/external/client) are kept up to date with the event, implementation, plan, status and developments.
Constantly monitor an event ensuring any problems or risks are identified swiftly and dealt with appropriately, and that TCF principles are considered.
Be responsible for the ownership of all aspects of the implementation
Plan and implement value adding processes to enhance the team’s capability and deliver high performance.
Strive to exceed our clients’ expectations, using formal project principles, effective processes and robust controls to deliver a professional service
Deliver effective event advice and solutions to the Business.
Develop awareness and understanding of current industry regulation, product trends and best practice for Transitions.
Operate detailed and accurate checklists, event folders, event runbooks & plans, processes and procedures and ensure sign off from relevant parties throughout the process.
Facilitate and lead meetings with key stakeholders to ensure all aspects of the event are considered and covered. Ensure minutes and action logs are documented and sent out post meetings.
Be a point of escalation for query resolution from any other business areas.
Escalate to management when relevant.
Build and maintain both internal and external relationships.
Focus on critical timelines across all types of event and manage appropriately, operating a “think out of the box” approach.
Coordinate post implementation reviews and ensure any lessons learned are documented, implemented and followed up.
Contribute towards measurement and feedback mechanisms to monitor and evaluate the effectiveness of the team.
Develop and report appropriate reports and management information for Fund Managers, Product Development and Senior Management.
Cross cover training across the team and stepping in to cover when colleagues are on holiday.
Any other ad-hoc transition and product support business.
Technical skills and qualifications
At least 5 years’ experience in transitions, investment operations and/or a client servicing role
Detailed knowledge and understanding of the transition process and potential areas for errors and risk
Abe to operate at a detailed level in a preventative role to avoid errors and have the confidence and skill set to interact with all parties.
